guest terms

These Guest Terms apply when you leave a message at a MementoBook event. They're simple and straightforward - we want you to feel comfortable sharing your message.

1. what you're agreeing to

By leaving a message (video, photo, voice recording, handwritten note, or text) at this event, you agree to these Guest Terms and acknowledge that your message will be shared with the event host.

2. who's hosting this event

This event was created by the event host (the person who invited you or set up this kiosk). The event host, not MementoBook or Entrinsia Inc., is collecting your message and is responsible for how it's used.

Important: MementoBook provides the technology platform, but the event host controls:

  • What messages are collected
  • Who can view the messages
  • How long messages are kept
  • How messages are shared or used

3. you're being recorded

If you choose to leave a video or voice message, you are being recorded.

By recording a video or voice message, you consent to being recorded. If you don't want to be recorded, you can leave a text message or photo instead.

what we record

  • Video messages: Your face, voice, and surroundings
  • Voice messages: Your voice
  • Photos: Any images you take or upload
  • Text/handwritten notes: Your written message
  • Your name: If you provide it (optional at most events)

what we don't do

  • We do NOT use facial recognition or biometric identification
  • We do NOT analyze your face or create biometric data
  • We do NOT sell your message or data to third parties
  • We do NOT use your message for advertising

4. your message will be shared

Your message will be:

  • Shared with the event host
  • Possibly included in a compiled video with other guests' messages
  • Potentially shared with other event attendees or recipients (like the guest of honor)
  • Stored on secure cloud servers during processing

By leaving a message, you give the event host permission to use your message for the event's purpose (for example, creating a birthday video, wedding memories, graduation tribute, etc.).

5. what you can and can't do

✓ please do

  • Leave genuine, heartfelt messages
  • Be respectful and appropriate
  • Keep it relevant to the event
  • Have fun and be yourself!

✗ please don't

  • Include hate speech, harassment, or threats
  • Share explicit, sexual, or inappropriate content
  • Include other people without their consent (especially children)
  • Violate anyone's copyright or intellectual property
  • Include advertising or spam
  • Try to hack, break, or misuse the kiosk or system

Messages that violate these rules may be removed by the event host or MementoBook.

6. minors and children

If you're under 18:

  • Make sure you have permission from a parent or guardian to leave a message
  • Don't include other minors in your message without their parents' permission

If you're a parent/guardian at this event and your child appears in someone's message, please speak with the event host about your concerns.

7. ownership and permission

You retain copyright to your message, but by leaving it at this event, you're giving broad permission for its use.

Specifically, you grant:

  • The event host a permanent, irrevocable license to use, edit, share, reproduce, and display your message in any way related to the event (including in compilations, social media posts, or keepsakes)
  • MementoBook a limited license to process, store, and compile your message as part of providing the service

What this means in practice:

  • The event host controls what happens to your message
  • Your message may be edited or included with other messages
  • The host can share the compiled video with anyone they choose
  • You can't prevent the host from using your message once it's submitted
  • You can request removal (see Section 8), but there's no guarantee

Think of it like this: Leaving a message at a MementoBook event is like signing a birthday card - once you hand it over, it's part of the celebration and the recipient keeps it.

8. want your message removed?

If you change your mind about your message:

  • Before the event ends: Ask the event host immediately - they may be able to remove it
  • After the event: Contact the event host directly - they control the messages
  • Need help? Email us at support@entrinsia.com and we'll try to help connect you with the host

Important: Once a compiled video is created and downloaded by the host, we can't undo that. The sooner you request removal, the better.

9. privacy and your data

who has your data

  • The event host: They control all messages and can access them anytime
  • MementoBook/Entrinsia: We temporarily store and process messages to provide the service
  • Cloud providers: Messages are stored on secure servers (AWS, Google Cloud, etc.)

how long we keep it

  • Messages are stored based on the event host's plan (typically 3 months free storage)
  • After storage expires, the host must download their video or extend storage
  • We may keep backup copies for up to 90 days for technical reasons

your privacy rights

Depending on where you live, you may have rights to:

  • Access your message
  • Request deletion of your message
  • Ask how your message is being used
  • Object to certain uses of your message

10. no guarantees

We provide the MementoBook service "as-is" which means:

  • We try our best, but technology isn't perfect - recordings may fail or have issues
  • We're not responsible if the kiosk malfunctions or your message doesn't save properly
  • Video compilation may have minor imperfections
  • We're not liable for how the event host uses your message
  • We can't guarantee your message will be preserved forever

Tip: If your message is really important, consider recording it again or letting the host know to check that it saved properly!

11. disputes and legal stuff

These Guest Terms are governed by Delaware law. If there's a legal dispute:

  • Try to work it out informally first by contacting support@entrinsia.com
  • Most disputes go to binding arbitration (not court)
  • You can't join a class action lawsuit against us
  • Disputes must be filed within 1 year

Our maximum liability to you is $100. By leaving a message, you acknowledge these limitations.
